Privacy Policy
Effective 7 November 2026
The short version. OneList has no account and no servers. Your list lives on your devices and in your own iCloud. Speech and AI run on your device. We don't collect analytics, show ads, sell data or use your data to train AI. If you connect Google, OneList talks to Google directly from your device, only to do what you ask.
Who we are
OneList (“OneList”, “we”) makes the OneList apps for Mac and iPhone and this website. Questions about privacy: hello@onelist.live.
Your list, and where it's kept
Your to-dos, life areas, alarms and settings are stored on your device. If iCloud is on, they sync between your devices through your private iCloud account, using Apple's CloudKit and iCloud key-value storage. That data is in your iCloud, not with us — we can't see it.
Calendars
With your permission, OneList reads the calendars on your device (iCloud, Google, Outlook and others you've added) to show your Agenda, find meeting links and ring alarms before meetings. When you create an event, it's written to the calendar you choose. Calendar data stays on your device.
Microphone and speech
When you hold a voice key or the microphone button, OneList listens until you let go and turns your words into text with Apple's speech recognition, on your device where your device supports it. OneList doesn't record or keep audio. On the Mac, the text of what you've said is kept in a history on that Mac only, so you can find it again.
Accessibility (Mac)
On the Mac, Accessibility access lets OneList notice the voice keys in any app and type your words where your cursor is. If “Learn from my corrections” is on, after typing for you OneList reads that same text box for up to two minutes to spot words you fixed, and keeps only the corrected words (for example “cozy” → “Kwasi”) in My words. Nothing else is read or kept.
My words
Names and words you add, or that OneList learns from your corrections, are kept on your device and synced through your iCloud so both devices hear you the same way. They're given to the speech recogniser on your device to improve accuracy.
Mail, Notes and meeting summaries (Mac, optional)
These are off until you turn them on. When on, OneList reads new emails in the Mail app, new or edited Apple Notes and the summary emails meeting notetakers send, and uses Apple's on-device AI to find things you need to do. The text isn't stored or sent anywhere; only the suggested to-dos you see are kept, until you add or dismiss them.
On-device AI
On devices with Apple Intelligence, OneList uses Apple's on-device language model to understand what you type or say (“remind me to ping Ama after lunch Friday”) and to find to-dos in text you share or allow. It runs on your device; nothing is sent to us or to an AI company.
Sharing to OneList
Text and links you share to OneList from other apps are added to your list, on your device.
Google (optional)
You can connect a Google account in Settings → Accounts to create Google Meet links, invite people to meetings and find a time everyone's free. If you do, OneList asks Google for:
- Your email address (openid, email) — to show which account is connected.
- Calendar events (calendar.events) — to create the events you ask for, with a Meet link and the guests you choose, and to delete an event OneList just created if you tap Undo. OneList doesn't read, change or delete your other events through Google.
- Your list of calendars (calendar.calendarlist.readonly) — to put an event on the calendar you picked.
- Free/busy times (calendar.freebusy) — when you tap “Find a time everyone's free”, to see when you and your guests are busy (times only, no details) over the next week.
- Meet spaces (meetings.space.created) — to create a Meet link when you tap “Start a Meet now” or “Copy a Meet link for later”.
Your Google sign-in token is stored in your device's Keychain. Requests go directly from your device to Google — never through a OneList server. Google data is used only to do what you asked, isn't stored beyond what's shown to you, and is never sold, shared, used for advertising or used to train AI models. You can disconnect in Settings → Accounts at any time, or remove OneList's access at myaccount.google.com/permissions.
OneList's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Notifications and alarms
Reminders, alarms and meeting countdowns are scheduled on your device by Apple's notification and alarm systems.
What we don't do
- No account, and no OneList servers holding your data.
- No analytics or tracking in the apps, and no ads.
- We never sell or share your data, and never use it to train AI.
If you choose to share crash reports with developers in your Apple device settings, Apple may send us anonymous crash reports.
This website
onelist.live is a simple website with no cookies, no analytics and no tracking. Fonts are loaded from Google Fonts, and our hosting provider keeps standard server logs (such as IP address and pages requested) for security.
Children
OneList isn't directed at children under 13, and we don't knowingly collect information from them.
Your choices
You can turn any permission off in System Settings or iPhone Settings, turn off iCloud sync, clear My words, disconnect Google, or delete the app. Because we don't hold your data, deleting it from your devices and iCloud removes it.
Changes
If this policy changes, we'll update it here and change the date at the top. Significant changes will also be mentioned in the app's release notes.
